Information we collect
We collect the information you provide, such as your name, email address, telephone number, business details, project requirements and correspondence. We also keep relevant records of your consent and communication preferences. Please avoid including sensitive personal information in your project description.
Our hosting and security providers process technical information such as IP addresses, browser information and request logs to deliver and protect the website. If you accept all cookies and load the enquiry form, the form provider also uses visitor identifiers, visit/session history and source-attribution information, as explained in our Cookie Policy.
We receive enquiry information directly from you. If you provide another person's details, please make sure they know you are sharing them and can read this notice.
Why we use information
- Responding to enquiries and preparing quotations: where you personally request steps towards a contract, we rely on taking those steps or performing the contract. Where you represent a business, we rely on our legitimate interests in communicating with business contacts and providing our services.
- Managing customer relationships: we use relevant correspondence and project records to deliver agreed services and administer the relationship, on the same contractual or legitimate-interests basis as appropriate.
- Security and handling disputes: we rely on legitimate interests in protecting the website and records, preventing misuse, and establishing, exercising or defending legal claims.
- Legal requirements: we process relevant records where necessary to meet accounting, tax or other applicable legal obligations.
- Optional form tracking: we rely on consent for optional visitor tracking and attribution associated with the embedded enquiry form.
Required form fields help us respond. If essential information is missing, we may be unable to deal with your request. You can also enquire directly by email or telephone without accepting optional website tracking.
Marketing and your choices
Submitting an enquiry or accepting website cookies does not, by itself, subscribe you to marketing emails or text messages. Where we offer a marketing subscription, we ask for a separate choice for the relevant communication channel and use your consent to send those messages.
You can withdraw marketing consent using the unsubscribe or opt-out method in the message, or by contacting us. We may keep limited suppression details so we can respect your choice. Replies and service messages about an enquiry you have made are separate from marketing.
Who receives information
We use GoHighLevel/LeadConnector for website hosting, the embedded form, enquiry management and related notifications. We use Google Workspace to handle email. Their service providers, including infrastructure and security providers, process information needed to deliver these services.
Authorised people handling your enquiry may access the information. We may also share relevant information with professional advisers or public authorities where necessary or legally required.
We do not share customer names or contact details with manufacturers. When discussing product requirements with manufacturers, we keep customer contact details out of the information supplied.
International processing
Our service providers may process information outside the United Kingdom, including in the United States. Their published processing terms provide for recognised adequacy arrangements where applicable and contractual safeguards for other restricted transfers.
HighLevel's data processing agreement incorporates the EU Standard Contractual Clauses with the UK International Data Transfer Addendum where required. Google's published transfer arrangements include the UK Extension to the EU–US Data Privacy Framework for relevant US transfers, with contractual safeguards for other restricted transfers where applicable.
You can read HighLevel's processing agreement and Google's transfer arrangements, or contact us for information about safeguards relevant to your personal information.
How long we keep information
Our retention period for personal details in enquiries that do not become orders is 12 months after the last contact. We delete those details unless discussions remain active or a specific reason requires longer retention, such as a legal obligation or unresolved dispute. Exceptions are limited to the information and time needed for that purpose.
For customer relationships, retention depends on the duration of the relationship, applicable record-keeping duties and reasonably anticipated legal claims. We keep marketing permission records while needed to demonstrate consent and limited suppression records to honour opt-outs.
Browser-storage durations are separate and are described in the Cookie Policy.
Your rights
Depending on the circumstances, you can request access, correction, deletion, restriction or a portable copy of your personal information. You can object to processing based on legitimate interests and can object to direct marketing at any time.
Where we rely on consent, you can withdraw it without affecting the lawfulness of processing before withdrawal. Contact us using the details above; we may need to verify your identity. Rights are subject to applicable conditions and exemptions.
You can complain to the Information Commissioner's Office. You may also contact us first so we can try to resolve the concern.
Updates
We will update this notice when our practices change and show the revised date. Where appropriate, we will draw significant changes to your attention.
